Co-Lin Automated Phone System — SMS Messaging Privacy Policy & Terms

Overview:

Copiah-Lincoln Community College (“Co-Lin,” “we,” “us”) offers an automated phone system for the IT Help Desk that can send text messages (SMS) to faculty, staff, and students who use it. This page explains what messages we send, why we send them, and how you can stop receiving them. It also sets out the terms that apply to your use of this messaging service.

This policy covers SMS communications only. For information about how Co-Lin handles student education records, see our Student Privacy / FERPA policy.

What messages we send:

When you call the Co-Lin automated phone system for automated support, the system may send you:

  • A one-time 6-digit verification code, sent to confirm your identity during the call.
  • A text message confirming the result of the automated support request, which may include account information related to your request.

These messages are sent only in direct response to a phone call you initiate to the IT Help Desk system. We do not send marketing, promotional, or recurring messages through this system.

How you consent to receive messages:

You are sent these messages only because you called the automated phone system and asked for automated support. By proceeding through the automated phone verification process and providing your phone number to the system, you consent to receive the verification code and related support messages described above at that number.

Message frequency: messages are sent only when you initiate a request through the automated phone system. A typical request results in two messages (one verification code, one confirmation/result message).

Message and data rates may apply, depending on your mobile carrier and plan.

How to stop receiving messages:

Reply STOP to any message from this system at any time to opt out of future messages. You will receive a one-time confirmation that you have been unsubscribed.

If you opt out, you can still get help from the IT Help Desk by speaking with a technician directly at 601.643.8685 or by visiting https://www.colin.edu/students/technology/, but you will no longer be able to complete the automated phone verification process, since it relies on sending you these text messages.

How we use your phone number:

Your phone number is used only to deliver the verification code and related support messages described above and to identify your account during the automated phone call. We do not sell, rent, or share your phone number with third parties for marketing purposes. Your phone number is stored in Co-Lin’s MyPack system as part of your existing employee or student account information.

Carrier disclaimer:

Carriers are not liable for delayed or undelivered messages.

Terms and Conditions:

By using the Co-Lin automated phone system and providing your phone number, you agree to the following terms:

  • This service is provided for Co-Lin faculty, staff, and students for the purpose of receiving automated IT support and identity verification by phone and SMS.
  • You must provide accurate identifying information when prompted by the automated system. Co-Lin may deny or end automated support, and may transfer your call to a live technician, if your identity cannot be verified.
  • Co-Lin reserves the right to modify, suspend, or discontinue the automated phone and SMS support service, in whole or in part, at any time and without prior notice.
  • This service is provided “as is.” Co-Lin does not guarantee that SMS messages will be delivered without delay or error, and is not responsible for delays or failures caused by your mobile carrier or device.
  • Use of this service is also subject to Co-Lin’s other applicable policies, including the Student Privacy / FERPA policy linked above and any acceptable use policies governing Co-Lin information systems.
  • These terms may be updated from time to time. Continued use of the automated phone and SMS support service after changes are posted constitutes acceptance of the updated terms.
