Policy for Reserving Facilities

 

Guidelines for the use of the College physical plant facilities for non-College activities can be found in Section VII.E. of the Policies and Procedures Manual of Copiah-Lincoln Community College. It states: "The buildings and facilities of Copiah-Lincoln Community College are provided primarily for the instructional programs of the college. However, there are times when these facilities are available for non-college activities. Not all buildings are available for use in the summer or during non-class operations—heating and air conditioning may not be feasible. Special exceptions must be approved by the President."

In addition, all campus guests are required to abide by all the rules and regulations of the college. The possession and use of alcoholic beverages on campus is strictly prohibited.

To reserve a meeting facility on the campus of Copiah-Lincoln Community College, individuals should contact Ms. Tricia Russell. Ms. Russell will gather information regarding the date(s) and time(s) of the meeting, purpose of the meeting, and attendance at the meeting.

She will then assist in locating a meeting facility, reserving the facility, and coordinating needed services. Fees associated with the use of a college facility are described below.

Individuals requiring food service will be asked to contact Ms. Diana Mezzanares, Valley Food Services, at (601) 643-8367, once Ms. Russell confirms the reservation of the meeting facility.  Information regarding the scheduling of college facilities can also be found in Section VII of the Copiah-Lincoln Community College Policies and Procedures Manual. The manual states:

 

VII.E.2. Facilities - Scheduling Use Applications for the use of college facilities by organizations, clubs, groups or individuals should be submitted to the Dean of Community Services on the Wesson Campus at the earliest possible date so that scheduling conflicts may be avoided. Priority will be given to college sponsored events that have been previously arranged by the Dean of Community Services and recorded in the office of the Dean of Student Services.

VII.E.3. Calendar of Campus Events & Activities The Dean of Community Services is responsible for coordinating the arrangements for all college and non-college activities held on the Wesson Campus. The Natchez Campus Dean is responsible for coordinating arrangements for the Natchez Campus.

The Dean of Community Services shall:

a. Determine when and where the activity is to be held.

b. Coordinate arrangements with the proper college personnel listed for each building.

c. Place the activity on the central calendar of Student Services.

d. Have the individual responsible for the activity to complete the necessary facility usage form.

e. Notify the Business Manager.

f. Prior to the meeting, notify the Director of Physical Plant to have the facility prepared for the meeting.

g. Assign a campus police officer or college official to open, close and monitor each building during use.

   The assignment of the campus police officer or college official will be made by working with the Dean of

    Student Services.

h. If necessary, contact outside police personnel.

i. Check facilities before the meeting is conducted.

The use of college buildings is scheduled by the Dean of Community Services. Arrangements are coordinated with the following personnel:

VII.E.4. Fee for Usage A fee of $15.00 per hour will be charged for any event held in a Copiah-Lincoln facility to cover expenses for security and janitorial service. A total of 3 hours of practice time will be allowed without charge for an upcoming event; the $15.00 fee will apply to all practice sessions beyond the first 3 hours. A fee of $50.00 per hour will be charged for use of Rea Auditorium.

VII.E.4.a. Events with Admission Charges For any event where there is an admission charge, there will be an additional $100.00 fee for each performance.

VII.E.4.b. Damages All groups or individuals using facilities will be responsible for loss or damage to college owned facilities and equipment.

VII.E.5. Stone Stadium Charges for the use of the Stone Stadium field or track and Mullen Gymnasium will not follow the above fee schedule and will be handled on an individual basis. The charges will be determined by: time of event, security needs, services to be rendered, and the janitorial services and field preparation necessary before and after each event.
